The Coordinator is accountable for the daily operations of the department by organizing, implementing and maintaining a volunteer program that will contribute to the physical and mental well-being of patients, supports the needs of family members and staff, meets the mission of the hospital, encourages community interactions and meets the individual needs of the volunteers. Assists in developing goals, policies and procedures; on boards and supervises volunteers for efficient operation and service to designated customers, programs or services. Assures staff and volunteers have the knowledge and skills to meet the identified needs and operational responsibilities.
This system-wide position does require travel to various hospital sites across the metro.
Establishes Volunteer Program and Service Needs
Assess facility volunteer needs based on discussions with various departments. Encourage staff to use volunteers as feasible. Develop new volunteer programs.
Develops marketing or public relations materials. Recruits volunteers from a variety of appropriate and innovative sources. Interviews potential volunteers to assess their interest, skills and expectations.
Develops and conducts informational sessions with potential volunteers via linkages with appropriate community organizations including schools, youth groups, and churches.
Assists in the interviewing and selection process for new volunteers to fill vacancies and build a team. Orientates/trains volunteers while providing a welcoming and supportive culture.
Place Volunteers in appropriate assignments. Provide ongoing assessment and support the needs of the volunteer with regular interaction and encouragement for their continued engagement in the role .
Ensure that all volunteers are comfortable and effective in their volunteer assignments.
Clarifies expectations, provides feedback and coaching. Assesses volunteer competence. Coordinates volunteer training for specific service assignments. Offers learning opportunities to meet identified needs.
Fulfills performance management expectations which may include discipline or discharge.
Assists with development of department policies and procedures, goals, and objectives that meet regulatory and system needs.
Identifies and Implements Innovative Programs and Services
Rounds/interacts with hospital staff to assess and identify volunteer program needs which enhance hospital operations and the patient and family experience.
Manages or acts as a liaison to specific programs such as Junior Volunteers, Auxiliaries, Scholarship Programs, Grants or other community groups special needs.
Assists with the onboarding and training of new department volunteer staff as needed.
Ensures Records and Budget Meet Goals/Compliance Standards
Ensure the required volunteer documentation is in place and current.
Implements and maintains competency assessment according to Joint Commission standards.
Manages and maintains annual required learning documents according to hospital guidelines.
Provides input and assists with development of department annual budget. Manages resources and expenses.
Focuses on Patient and Volunteer Experience
Understands the importance of and guides volunteers to exhibit excellent customer services with use of AIDET and on-stage/off stage principles.
Provides ongoing informal and formal recognition of the volunteers. Develops and implements annual volunteer recognition program. May write/edit articles for volunteer newsletters.
Develop and maintain a volunteer handbook.
Bachelors Degree in Human Services, Management, Education or related field.
1-3 years supervisory or leadership.
Work as a volunteer or with volunteers.
Certification in Volunteer Management
Proficiency with computers, internet navigation/search, office software (MSOutlook, MSWord, Excel, PPT), data base management, and electronic communication (e.g., texting, social media).
Strong interpersonal and customer service skills. Ability to multitask, handle interruptions and manage projects independently.
